First day, done right
Hire well, on paper as well as in person.
A new hire's first payslip is your one chance at a first impression, and it goes wrong for boring reasons: no P45, no starter declaration, a guessed National Insurance number, the wrong student loan plan. This wizard collects what payroll genuinely needs — identity and contact details, the P45 or the A/B/C starter declaration that replaces it, student loan position, bank details — and turns it into one clean, printable record your payroll processor can action without a single follow-up email.
The starter declaration matters more than it looks: it decides the tax code your employee starts on. Declaration A (first job this tax year) gets the full allowance; B (had a job earlier this year) gets it on a week-one basis; C (has another job or pension) gets none. Guess wrongly and the first payslip is wrong, the employee is upset, and HMRC writes to everyone.
Remember the two things this form deliberately does not do: it does not verify right to work — you must see original documents or an official share code before day one — and it does not run your payroll. We do that part, RTI filings, pension auto-enrolment and all.
Common questions.
What if the new starter has no P45?
Use the starter declaration instead: A if this is their first job since 6 April, B if they have had another job this tax year but this is now their only one, C if they have another job or receive a pension. The declaration sets their initial tax code, so it is worth getting right rather than defaulting.
Why does the form ask about student loans?
Because employers must deduct student loan repayments through payroll, and the plan type (Plan 1, 2, 4, 5 or postgraduate) sets the threshold and rate. A P45 only shows that deductions were being made — not which plan — so asking directly avoids wrong deductions and HMRC correction notices.
Does this check right to work?
No — and nothing online replaces it. Before employment starts you must check original documents in person or use the Home Office online service with a share code, and keep evidence. Penalties for employing someone without the right to work are severe. Treat this form as the payroll half of onboarding, not the legal half.
Is the employee's data stored anywhere?
No. The record is generated entirely in the browser and exists only on the page and in whatever you print or save. Nothing is transmitted to Roseworth. Handle the printed record as you would any personal data — it contains bank details and an NI number.
